Visa Application Guidance

International participants requiring a visa to enter China are strongly advised to start the application process as early as possible. The conference organizing committee can provide an official Visa Invitation Letter to facilitate your visa application.

How to Request a Visa Invitation Letter

To request an invitation letter, please complete the following steps:

1. Register for the conference – You must have completed your registration and paid the registration fee before we can issue the invitation letter.
2. Send an email to the conference secretariat at cid2ie@vip.163.com with the subject line: "Invitation Letter Request – [Your Name]".
3. Provide the following information in the email:
   • Full name (as shown in passport)
   • Passport number
   • Date of birth
   • Nationality
   • Affiliation/Institution
   • Paper ID (if you are an author)
   • Expected arrival and departure dates
4. Attach a scanned copy of your passport's information page.

We will process your request and send the invitation letter (in PDF format) within 5 working days. If you need a hard copy by postal mail, please indicate this and allow extra time for delivery.

Visa Application Timeline

We recommend that you apply for your visa at least 6–8 weeks before your planned travel date. Processing times vary by country and embassy, so please check with your local Chinese embassy or consulate for specific requirements.

Additional Tips

• Ensure your passport is valid for at least six months beyond your intended stay in China.
• Check if you need a transit visa if you have a layover in China before or after the conference.
• Keep a copy of your conference registration confirmation and hotel booking for the visa interview.
• Visit the official website of the Chinese Visa Application Service Center (www.visaforchina.cn) for general guidelines.
